T2PhoneOutbound calls: confirmations and recalls
Outbound calls to confirm appointments and recall clients
Calls your existing customers to confirm or move an appointment, or to book the service falling due.
The problem
Confirming tomorrow's appointments and recalling clients whose service is due means hours on the phone, mostly to hear «that's fine» — and a missed appointment is discovered on the doorstep.
Who it is for, and when
- Who it is for
- The office of an electrical contractor, a garage or a practice that works by appointment, with a list of customers to confirm or recall.
- When
- Every afternoon for the next day's appointments; every month for the services falling due, such as annual maintenance.
What you give it, what you get
You give it
For every call the customer, the number and the reference (the appointment or the contract); for recalls the service falling due and the calendar with the services.
You get
For every call the outcome in one word — confirmed, to move, booked, not reached, opted out — the record with the transcript, and moves or new appointments on the calendar.
How it works, in three steps
- Write the greeting and, for recalls, the services in the calendar
- Approve the call to the customer
- Read the outcome and handle what is left for a person
On its own, in a flow. Today each call is approved one at a time; the batch from a list, with a time window, retries and a single approval, is the next step.
The rules it applies
In the agent's own words: what it checks and what it never does.
- Existing customers only: never a cold call
- Moves or books the slot during the call, with booking on
- Every outbound call needs your approval
- Anything that leaves the building — a booking, a message — waits for your approval unless you hand that decision over.

Thursday's survey is confirmed
The day before every survey somebody has to ring the customer to find out whether the appointment holds, and it is twenty identical calls. This one holds: the customer will be there, the time suits, and nothing is left for anybody to do.

Frequently asked questions
Does it call people who are not my clients?
No: only clients you already have, for confirmations and recalls — never cold calls. Every outbound call needs your approval; today they are approved one at a time.
What does it cost, and how long does it take?
Estimate: €0.20–0.40 of voice and network for a 1–2 minute call, plus the record (about 4–7 credits, ≈ €0.17–0.29, mostly the final check); the measurement comes with the first real calls.
Can it run on its own, in a flow?
Today each call is approved one at a time; the batch from a list, with a time window, retries and a single approval, is the next step.
Who checks what the agent did?
You do — and it takes a minute, not an afternoon. Every run is a trace: the live timeline, each tool call, each document read, the cost per step, the confidence and sources. Actions that leave the building wait for your approval. The platform never sends, never touches a live store, never moves money.
Where does my data live, and how do you handle GDPR?
Your data is stored in the EU, on one server in Germany. The EU/US data-region setting limits which models an agent can be saved with, not where your data is stored. A no-retention mode and a local runner on your own machine are available. Your plan sets how many days your data is kept — you can change it — and when they run out it is deleted automatically. You download each run's results and delete files, agents and connections in the console; an owner deletes the whole workspace and each person their own account from Settings. The “Your data” page names the services that handle your data.
