M1Manufacturing and wholesaleOrder confirmation against the purchase order
Check the supplier's order confirmation against your purchase order
The supplier's order confirmation checked line by line against your purchase order before it counts as accepted: prices through the discount chains, packs, delivery dates, substitutes, lines dropped or added, transport, payment terms — each difference with its euros, the reply to the supplier already written.
The problem
The confirmation comes back with a price nudged up, a delivery pushed back, an item substituted or payment at 30 days instead of 60. If nobody reads it against the order, it stands as accepted.
Who it is for, and when
- Who it is for
- Whoever buys at a small manufacturer or a wholesaler — the purchasing office, the owner — who receives order confirmations from suppliers every week and checks them by eye, when there is time.
- When
- The day the confirmation arrives, before it counts as accepted: many say they stand unless contested within two or three days, and a confirmation that differs from the order is a new proposal (art. 1326 of the Italian civil code).
What you give it, what you get
You give it
Your purchase order (the PDF you sent or the ERP's Excel/CSV export) and the supplier's confirmation as it arrived: PDF, scan, photo, also in several documents or in German.
You get
The verdict on top, each difference as a card with its money, the delta on the total, the lines ordered against confirmed, the reply to the supplier already written (never sent) and the matched lines in Excel and CSV.
How it works, in three steps
- Upload the order and the confirmation
- Read the verdict and the differences
- Read the reply through and send it yourself
On its own, in a flow. Published as a page: whoever receives the confirmations (the warehouse, a colleague) uploads the order and the confirmation, and purchasing receives the comparison and the reply to send; nothing is accepted or sent without a person.
The rules it applies
In the agent's own words: what it checks and what it never does.
- Every line matched: codes, substitutes, packs, prices
- Each difference with its euros, the total delta, in code
- A reply to the supplier in Italian, German or English
- Every total is recalculated from the lines and compared with the printed one; what cannot be read stays empty and is said in the notes, never invented.

A case from the demo catalogue, with anonymised documents.
Trasmissioni Padane confirms order OA-2026-0412: the gearbox at €438 instead of €412, the couplings three weeks late — to clarify before it counts as accepted
It is 2 October. Officine Brentella, which builds packaging machines in Castelfranco Veneto, has ordered eight articles from Trasmissioni Padane for the November batch: bearings, chains, belts, four gearboxes, the couplings. The confirmation arrives by e-mail with the lines in the supplier's code order and a clause at the bottom: accepted unless contested within three days. Laura, in purchasing, needs to know at once whether it is fine or what to write to the supplier.

Frequently asked questions
Does it reply to the supplier?
It writes the reply in the supplier's language — Italian, German or English — point by point, with lines and amounts. You read it, correct it and send it: nothing is accepted or sent without you.
What does it cost, and how long does it take?
Usually 22–45 credits a confirmation (≈ €0.91–1.86) and 4–8 minutes. It depends on the documents: more lines and more confirmations cost more; the code computes the matches, the conversions and the differences. The recorded example cost 30 credits in about 5 minutes.
Can it run on its own, in a flow?
Published as a page: whoever receives the confirmations (the warehouse, a colleague) uploads the order and the confirmation, and purchasing receives the comparison and the reply to send; nothing is accepted or sent without a person.
Who checks what the agent did?
You do — and it takes a minute, not an afternoon. Every run is a trace: the live timeline, each tool call, each document read, the cost per step, the confidence and sources. Actions that leave the building wait for your approval. The platform never sends, never touches a live store, never moves money.
Where does my data live, and how do you handle GDPR?
Your data is stored in the EU, on one server in Germany. The EU/US data-region setting limits which models an agent can be saved with, not where your data is stored. A no-retention mode and a local runner on your own machine are available. Your plan sets how many days your data is kept — you can change it — and when they run out it is deleted automatically. You download each run's results and delete files, agents and connections in the console; an owner deletes the whole workspace and each person their own account from Settings. The “Your data” page names the services that handle your data.
