T1PhoneSecretary with calendar
A phone secretary that answers, books appointments and takes messages
Answers every call, books the right service on the right calendar or takes a precise message.
The problem
When you are on site, in court or at lunch, the phone rings anyway. A missed call can be a client, an appointment or a message about an invoice that nobody took.
Who it is for, and when
- Who it is for
- The receptionist or the owner of a law or accounting firm, an electrical contractor, a tradesman: anyone who gets more calls than they can take.
- When
- All day: in the deadline weeks, when the owner is in court or on site, after hours and on Saturdays.
What you give it, what you get
You give it
The phone number (a new one or yours forwarded), your hours, the services with their length and the calendar of whoever does them, the answers to frequent questions.
You get
For every call a record that opens with the outcome — the appointment booked or the message for whoever must call back — with the transcript and the appointment on the right calendar.
How it works, in three steps
- Choose the voice, the greeting and your hours
- Switch booking on and list the services with length and calendar
- Connect the number and read the call records
On its own, in a flow. It answers every call on the connected number by itself; every record lands in the call log, and the appointment in the service's calendar.
The rules it applies
In the agent's own words: what it checks and what it never does.
- Books each service, for its length, on the right calendar
- Takes messages with who, what and when to call back
- Never invents a price, a date or an answer
- Anything that leaves the building — a booking, a message — waits for your approval unless you hand that decision over.
A real example
A case from the demo catalogue, with anonymised documents.
The office is closed for lunch and somebody rings about an invoice
At half past one there is nobody in the accounts office, and the customer who found an invoice amount different from the order's rings. The assistant cannot open the invoice, but it can take the number, the contact and the reason, so that at two o'clock whoever comes back finds it all already written down.

Frequently asked questions
Can it make up a price or a date on the phone?
No: it never invents a price, a date or an answer you have not given it. It takes the message as you would — who, what, when to call back — and books every service with its duration on the right person's calendar.
What does it cost, and how long does it take?
Estimate: €0.30–0.40 of voice and network for a 2–3 minute call, plus the record (about 4–7 credits, ≈ €0.17–0.29, mostly the final check); the measurement comes with the first real calls.
Can it run on its own, in a flow?
It answers every call on the connected number by itself; every record lands in the call log, and the appointment in the service's calendar.
Who checks what the agent did?
You do — and it takes a minute, not an afternoon. Every run is a trace: the live timeline, each tool call, each document read, the cost per step, the confidence and sources. Actions that leave the building wait for your approval. The platform never sends, never touches a live store, never moves money.
Where does my data live, and how do you handle GDPR?
Your data is stored in the EU, on one server in Germany. The EU/US data-region setting limits which models an agent can be saved with, not where your data is stored. A no-retention mode and a local runner on your own machine are available. Your plan sets how many days your data is kept — you can change it — and when they run out it is deleted automatically. You download each run's results and delete files, agents and connections in the console; an owner deletes the whole workspace and each person their own account from Settings. The “Your data” page names the services that handle your data.
