F2Finance and administrationBank reconciliation and open items
Bank reconciliation: who really paid, what is really open
Tells who has really paid and what is really open, from the bank export and the management software's open items.
The problem
The bank statement says what came in; your software, what is open. In between are bulk transfers, RiBa batches and partial payments, and a client's real balance is only known once they are matched one by one.
Who it is for, and when
- Who it is for
- Whoever runs administration in a 5–50 person business, and the accountant's junior balancing the bank for forty clients.
- When
- At month or quarter end, before the reminders go out and before the accountant closes the period; every month by itself, with the flow.
What you give it, what you get
You give it
The bank's export (CSV, Excel or camt.053) and the management software's open items (CSV or Excel) or the invoice XMLs from the tax portal, also together in one ZIP.
You get
The first line with collected, partial and truly overdue; what is overdue per client with the days late; the movements with no document; every match with its evidence; the prima nota with the ABI causali; three CSVs for the management software and the accountant.
How it works, in three steps
- Upload the bank export and the open items
- Read what is truly open and the movements with no document
- Download the CSVs or send them to the accountant
On its own, in a flow. Wire it to the flow: you drop the month's files and the accountant receives the reconciliation with the CSVs; when the overdue total passes your threshold it asks you first.
The rules it applies
In the agent's own words: what it checks and what it never does.
- Untangles cumulative transfers and RiBa batches
- Every match with its evidence, every sum by code
- Prima nota with ABI causali, CSVs for the accountant
- Read-and-recommend only. The agent never moves money.
A real example
A case from the demo catalogue, with anonymised documents.
The quarter: bank statement and receivables ledger
At the end of March Acme Impianti sends its accountants the usual two files in one ZIP: the account's movement list exported from home banking (94 operations) and the gestionale's receivables ledger in Excel (61 open invoices). Inside is the real work of a close: transfers that settle several invoices at once — one quoting a wrong number —, two RiBa batches and a bill returned unpaid, advances and instalments, clients who pay without quoting the invoice, and seven movements no document explains.
The recorded result
94 movimenti, 61 fatture: 44 incassate (11 in 4 bonifici cumulativi, 20 in 2 distinte RiBa), 4 parziali, 5 davvero scoperte (18.400,00 €, di cui 1 insoluta), 8 non ancora scadute, 7 movimenti senza documento
real time 3 min 8 s13 credits
Frequently asked questions
Can it make payments or change the account?
No: read and recommend only, the agent never moves money. Every match has its proof, every sum is worked out by code, and the journal comes out with ABI reason codes and CSVs for the accountant.
What does it cost, and how long does it take?
Usually 10–21 credits for a quarter of movements (≈ €0.41–0.87) and 2–5 minutes. It depends on the statements: more movements and more documents cost more; the matching and the sums are code. The recorded example cost 13 credits in about 3 minutes.
Can it run on its own, in a flow?
Wire it to the flow: you drop the month's files and the accountant receives the reconciliation with the CSVs; when the overdue total passes your threshold it asks you first.
Who checks what the agent did?
You do — and it takes a minute, not an afternoon. Every run is a trace: the live timeline, each tool call, each document read, the cost per step, the confidence and sources. Actions that leave the building wait for your approval. The platform never sends, never touches a live store, never moves money.
Where does my data live, and how do you handle GDPR?
Your data is stored in the EU, on one server in Germany. The EU/US data-region setting limits which models an agent can be saved with, not where your data is stored. A no-retention mode and a local runner on your own machine are available. Your plan sets how many days your data is kept — you can change it — and when they run out it is deleted automatically. You download each run's results and delete files, agents and connections in the console; an owner deletes the whole workspace and each person their own account from Settings. The “Your data” page names the services that handle your data.
