R1Real estateProperty sale file
The property sale file checked before the deed, from the property's documents
The file check an agency prepares before the deed, from the property's documents: every cadastral datum compared with the record, owners and shares against the sellers, the tax codes, the APE valid on the day of the deed, the systems' declarations, the condominium charges and the share that passes to the buyer; the verdict on top. A difference is reported, never judged.
The problem
Before the deed the agency gathers some ten documents and sends them to the notary. An old floor plan, a deceased owner on record, an APE that runs out the week before or unpaid condominium charges often turn up late, with the deed already set. The agent reads the documents as printed and code does the comparisons, the shares and the dates.
Who it is for, and when
- Who it is for
- The estate agency — the agent and whoever prepares the file for the notary.
- When
- When the offer is accepted and the deed is set; before sending the file to the notary, and again when a new document arrives.
What you give it, what you get
You give it
The cadastral record and floor plan, the APE, the deed of provenance (and any succession), the systems' declarations, the building manager's certificate, the sale mandate: PDFs, scans or photos.
You get
The verdict on top, then the things to complete and to verify with the rule, the documents and their state, the cadastral data compared, owners and sellers with shares and tax codes, the APE at the deed, the condominium charges year by year; the file in Word and PDF and the CSV.
How it works, in three steps
- Upload the property's documents
- Read the verdict and what to complete
- Complete the file and send it to the notary
On its own, in a flow. Published as a page: whoever gathers the documents at the agency uploads them, and the agent gets the file check; no register consulted, nothing sent.
The rules it applies
In the agent's own words: what it checks and what it never does.
- Every document's cadastral data compared with the record
- Owners, shares and tax codes against the sellers
- APE at the deed and condominium charges to the buyer, computed
- Every total is recalculated from the lines and compared with the printed one; what cannot be read stays empty and is said in the notes, never invented.

Via San Vitale 112: visura, plan, APE, provenance deed, DiCo and condominium certificate in order — the file is ready for the deed, with the APE expiring five days after it
It is Wednesday 7 October. Marta Ciliegio, of the Ciliegio Case agency, prepares the deed of 23 October for Lorenzo Azzurri and Chiara Celesti's flat at Via San Vitale 112, sold for 268.000 €. The notary wants the whole file: the visura, the plan, the APE, the provenance deed, the electrical system's declaration of conformity and the administrator's certificate. Before sending it, Marta wants to know whether anything is missing or does not add up.

Frequently asked questions
Does the agent replace the notary's checks?
No: it checks the documents you upload and reports the differences, for a professional to verify. It does not query the cadastre, the land registry or the municipality, and it cannot see mortgages or attachments the documents do not show.
What does it cost, and how long does it take?
Usually 12–24 credits per file (≈ €0.50–0.99) and up to 3 minutes. It depends on the documents: more pages and skewed photos cost more; the cross-check, the shares, the APE and the charges are computed by code. Estimate: the measurement comes with the first recorded example.
Can it run on its own, in a flow?
Published as a page: whoever gathers the documents at the agency uploads them, and the agent gets the file check; no register consulted, nothing sent.
Who checks what the agent did?
You do — and it takes a minute, not an afternoon. Every run is a trace: the live timeline, each tool call, each document read, the cost per step, the confidence and sources. Actions that leave the building wait for your approval. The platform never sends, never touches a live store, never moves money.
Where does my data live, and how do you handle GDPR?
Your data is stored in the EU, on one server in Germany. The EU/US data-region setting limits which models an agent can be saved with, not where your data is stored. A no-retention mode and a local runner on your own machine are available. Your plan sets how many days your data is kept — you can change it — and when they run out it is deleted automatically. You download each run's results and delete files, agents and connections in the console; an owner deletes the whole workspace and each person their own account from Settings. The “Your data” page names the services that handle your data.
