Safety training register: who is not trained, what expires
Reads the training certificates against the employee list and tells you who is untrained, what expires in the next 90 days and which courses to book — PES/PAV, aerial platforms, first aid, fire fighting — every date computed with its source.
The problem
Certificates arrive from training bodies in different formats, one per page or all in one PDF. Keeping track of who is trained for their role and what expires, employee by employee, is a sheet that is always updated late.
Who it is for, and when
- Who it is for
- The owner or the safety officer (RSPP) of an installation firm of 3 to 30 people, and the external safety officer or payroll consultant who keeps training for many firms.
- When
- Once a month, and at every hire, change of job or certificate that arrives from the training bodies.
What you give it, what you get
You give it
The certificates (PDFs, scans, photos — one PDF holding many is fine) and the employee list in Excel or CSV, from the payroll export or your own workbook with the course dates; if you have it, the DVR's job profiles.
You get
First who is untrained and what expires in the next 90 days; the plan of courses to book (course, hours, participants, by when); the register per worker; two CSVs; every rule with its source and what is left to verify.
How it works, in three steps
- Upload the month's certificates and the employee list
- Read the positions not covered and the expiries first
- Book from the course plan or download the two CSVs
On its own, in a flow. Every month by itself: the flow re-reads the uploaded certificates and list and, when a position is uncovered or a course expires, e-mails the safety officer the course plan and the CSV.
The rules it applies
In the agent's own words: what it checks and what it never does.
- Who is untrained and who expires in the next 90 days
- New hires trained at hiring: no 60-day grace
- The course plan to book, each rule with its source
- Every total is recalculated from the lines and compared with the printed one; what cannot be read stays empty and is said in the notes, never invented.
A real example
A case from the demo catalogue, with anonymised documents.
Twelve certificates and 27 employees — 9 positions not covered, the 3 July hire untrained
It is 30 September: Acme Impianti's safety officer has the scan of the certificates three training bodies sent in September — 14 pages, 12 certificates, one fed twice through the scanner, one of a worker who left in July — and the staff workbook: the payroll export of the 27 employees in service, their safety assignments and the dates of the courses on file. They need to know who is untrained, what expires in the next 90 days and which courses to book.
The recorded result

Frequently asked questions
How does it treat a new hire?
As someone to train on hiring: no 60-day grace period. Every date in the course plan is worked out with its source, and the uncovered positions come first.
What does it cost, and how long does it take?
Usually 35–71 credits for a month's certificates (≈ €1.44–2.93) and 2–5 minutes. It depends on the certificates: each extra one is one more reading; the expiries are computed in code, at no cost. The recorded example cost 47 credits in about 3 minutes.
Can it run on its own, in a flow?
Every month by itself: the flow re-reads the uploaded certificates and list and, when a position is uncovered or a course expires, e-mails the safety officer the course plan and the CSV.
Who checks what the agent did?
You do — and it takes a minute, not an afternoon. Every run is a trace: the live timeline, each tool call, each document read, the cost per step, the confidence and sources. Actions that leave the building wait for your approval. The platform never sends, never touches a live store, never moves money.
Where does my data live, and how do you handle GDPR?
Your data is stored in the EU, on one server in Germany. The EU/US data-region setting limits which models an agent can be saved with, not where your data is stored. A no-retention mode and a local runner on your own machine are available. Your plan sets how many days your data is kept — you can change it — and when they run out it is deleted automatically. You download each run's results and delete files, agents and connections in the console; an owner deletes the whole workspace and each person their own account from Settings. The “Your data” page names the services that handle your data.
